The whole process of test sample management and attention to detail1. Sample collection: Samples should be representative. The results of the samples are used to illustrate the overall picture and to draw conclusions about the overall picture. Sampling is guided by the following principles: 1.1 Representativeness: Sampling should pay special attention to overcome and eliminate the influence of various factors, so that the sample is as close as possible to the overall situation, to ensure that the sample is fully representative of the overall. 1.2 Availability: In some cases, samples may not be representative, but are determined by their availability. 1.3 Impartiality: Sampling must be guaranteed to be impartial and carried out by qualified personnel (those who have received training in sampling and passed the assessment). If necessary, sign the seal on the spot with the person accompanying the inspected unit and make a record of the on-site sampling. Fill in the sample collection record form, both sides signed to confirm. 2.Sample reception 2.1 Fill out the commission Whether sampling or sending samples should first be commissioned by the commissioner to fill out the ‘sample test commission, the general commission in duplicate, a copy of the test organisation to stay in the archives, a copy of the commissioner as a voucher to receive the report. 2.2 Review of the power of attorney Receiving officer should review the sample test commission to fill out whether the standard, whether there are blanks, whether the procedures are complete, whether the information is complete, whether the standard reference is correct, appropriate. 2.3 Verification of samples Samples should be filled out with the ‘sample test commission’ content is consistent. Sample packaging should be intact, if not intact should be recorded in writing. The number of samples sent for testing should be consistent with the test, retesting, arbitration requirements, such as sending samples only for the test samples should be explained in writing. 2.4 Formal acceptance Sample acceptance of personnel in the ‘sample test commission’ on the signature and commitment to the date of the report. 3. Sample number In order to ensure the traceability of test samples, in principle, a sample to give a unique number (CNAS requirements are to avoid confusion, not to be a unique number, of course, the unique number must also meet the requirements). For a number of samples of the same event can be regarded as a sample to give a number. The sample number may consist of the year, the sample category code, and the sample serial number (or another number appropriate to the laboratory). In order to ensure the uniqueness of the sample number, it is generally the responsibility of the sample receiving department to prepare the number, or it can be generated by the system for laboratories with LIMS. 4. Sample identification Sample identification includes a unique number (sample acceptance number) and identification of the different test status of the sample (untested, under test, tested, retained). The sample should be ‘Inspection’, “pass”, “fail” mark. For more than one package of the same sample should be in the sample acceptance number followed by a bar and numbers to be subdivided into identification to ensure the uniqueness of each package. Sample manager is responsible for the identification of the sample label on the sample one by one. 5. Sample flow Sample acceptance, by the contractor according to the customer ‘sample test commission in the requirements of the letter to the testing department (personnel) issued a’ sample test handover order ‘and notify the test room sample manager to take the samples to be tested. Testing room sample manager in the handover should verify the status of the sample and sign the ‘sample test handover order’ on the acceptance. Samples passed to the test room by the test room sample manager unified registration. Untested, in the test, test samples should be stored separately. Detectives receive samples for testing, the sample identification number shall not change. Samples should be protected from non-detectable damage or loss during the flow and testing process. 6. Management of Subcontracted Samples Samples provided to the subcontracting laboratory, the sample should be checked for integrity before delivery, and the samples delivered to the subcontracting laboratory should be received by the other side of the voucher. The subcontracting management should do a good job of registering subcontracted samples. Subcontractor should have measures to protect the integrity of the samples, marking and storage of samples. 7. Sample storage, custody Sample storage, custody should have a special sample choked and equipped with appropriate facilities; sample room by the sample administrator is responsible for, restricted access; sample storage environment should be safe, non-corrosive, clean, dry and well-ventilated, temperature and humidity monitoring; the requirement of special environmental conditions for the storage of samples, should be strict control of the environmental conditions, the environmental conditions should be recorded on a regular basis; retention of samples should be in accordance with the specified number, variety of implementation, in order to prepare for re-inspection, arbitration; the sample should be kept in accordance with the provisions of the sample. In order to prepare for re-inspection, arbitration; corrosive, flammable, explosive and toxic hazardous samples should be stored in isolation, to make a clear mark; sample administrator should be left samples carefully acceptance of the sample registration, classification of samples of different natures preserved. 8.Handling of samples After the report issued by the sample sample retention period shall not be less than the report of the complaint feedback time, the sample and special samples of the excessive samples if necessary to focus on extending the retention period, after the inspection of the sample processing is divided into the following types of treatment: 8.1 customer request to take back the sample, after the expiry of the retention period, the customer can take back. Customers to take back the sample, the sample collector with the ‘sample test commission’ to the sample room, the sample administrator for the return of the sample procedures. 8.2 Customers need to advance (retention period) to take back the samples, should be in the sample test commission signed ‘no objection to the test report’ before the sample administrator for the return of samples; 8.3 The retention period has passed the customer entrusted to deal with samples, should be filled out by the customer requirements; 8.4 must monitor the processing of samples, the sample manager must be in accordance with the provisions of the method of monitoring the processing, to prevent pollution of the environment and harm caused by the monitoring of the processing should be recorded. |
